Creating a Student Grade Report in Excel

  
  

To create a student grade report in Excel 2000, follow these steps:

  
1) Start Excel; you will begin with a blank spreadsheet
2) Start by entering students' names, assignments, and their point value.
  

  
3) First off, there are a few things that should be pointed out.  The spreadsheet is setup with each cell being assigned a letter/number combination.  If you are familiar with the game "Battleship", this should be fairly simple.  Each cell is assigned a letter for the column it is in, and a number for the row.  In this case, the cell with "Samantha" is selected.  This is assigned the letter "B" since it is in column B, and the number is "8" since it is in row 8.  Thus the cell is labeled "B8".
4) Occasionally, you will find that cells are too small or too large for the number of characters you have entered.  When this happens, you can move your mouse between two columns; double click on the "seem" and the cell on the left is resized to accommodate the number of characters in that column.
5) Another thing you may notice is that the names are not in alphabetical order.  This can be fixed fairly easily.  Click on the row number of the first name.  This will highlight the entire row.  Without releasing the button, drag your mouse straight down until you reach the last name.
  

  
6) On the toolbar, go to "Data" > "Sort".  The Sort dialogue box will pop up.
  

  
7)  Since Column A is "Last Name" and Column B is "First Name", it stands to reason that the first thing you want to alphabetically sort are the students' last names, followed by their first names in case there are students with the same last name.  For instance, John Smith and Samantha Smith will need to be alphabetized by their first name as their last names are the same.  If the second column was not selected to sort, then the students with the same last names would appear in whichever order they were entered in the list.  Since you have just highlighted the students' names, make sure "No Header Row" is selected.  This option is for when you have the column titles highlighted in addition to the data in the cells.  Finally, click OK and the list of names will be sorted alphabetically
